Nox Funnel

The Nox Funnel is a behaviour-based lead funnel. Instead of relying on whichever pipeline stage someone was dropped into months ago, Nox tracks every contact through cold → intermediate → warm → booked based on what they actually do — site visits, email opens and clicks, replies, answered calls, chats, bookings, LeadConnector (formerly shown as GoHighLevel) pipeline moves, and form submissions.

Beta

The Nox Funnel is currently in beta and is enabled per account by the Knock Knock team — contact support to join. Once it's enabled for your account, turn it on with the Track the funnel switch in funnel settings.

If your account uses white-label branding, the assistant may appear under a different name. This guide calls it "Nox".

How stages work

Contacts move up when their behaviour crosses your thresholds and down when they go quiet:

  • Very warm is an act-now flag, not a stage. It fires on strong signals — for example a lead score above 80, two visits in one day, the same email opened four or more times, shared contact details, a positive conversation, or a burst of three or more signals in 24 hours / a 3× spike over their normal activity. Any new engagement re-arms it; 14 silent days step it down.
  • Negative conversation outcomes demote a contact one stage.
  • Dormancy steps contacts down: booked → warm after 14 days (unless the deal is closed-won), warm → intermediate after 60 days, intermediate → cold after 90 days. These are the defaults — everything is configurable in settings.
  • Won is the terminal stage for contacts who became customers, and it's manual-only — the automatic engine never promotes into it, and decay never demotes out of it. From any stage, use Mark as won, optionally add a deal amount and a note, and Confirm won (there's an Undo won if you change your mind). This marks the contact as a customer; asking Nox to "mark as customer" does the same thing. A payment received through a connected Jobber account also marks the contact won. Won contacts never appear on the very-warm lists.

The Funnel view

Once tracking is on, a Funnel tab appears on your Dashboard, with an Overview / Board toggle and a Configure button.

Overview

  • Stage cards — Cold, Intermediate, Warm, and Booked counts, plus a Live now card, each with deltas since yesterday. Click a stage to open its full contact list, searchable by name, email, or phone.
  • Very warm — act today — the hot list. Every entry has a Why very warm? expander showing the actual evidence behind the flag.
  • Your priority list today — ranked contacts with plain-language reasons ("just visited a high-intent page like pricing or demo" — never scores or jargon), a suggested channel, and — behind every "call now" suggestion — a call-prep briefing: talking points backed by real activity, the signal trail, and the best channel to use.

Board

A kanban board with a column per stage. Open any contact's Details to see them in full — the same contact modal everywhere the funnel shows a person, whether you open it from the board, the priority list, or the very-warm list — including their journey timeline: every visit, open, call, and stage change that got them there. Recent signals in the journey drill down to their source: click a signal to open the exact chat, session, or call behind it (calls deep-link straight to the right call). Contacts that live in LeadConnector carry an Open in CRM link (an external-link icon on the hot list and in the contact header) that opens the contact in LeadConnector in a new tab.

You can also drag cards between stages. A drag is a manual override, and it's logged in the contact's audit trail. Won is terminal, but any other stage you drag a contact into can still be re-earned by behaviour later.

Reconciliation review

When a contact's behaviour disagrees with where they sit in your LeadConnector pipeline, the mismatch appears in the Behavior vs your CRM panel. By default nothing is applied without you: tick the contacts you agree with (Select all / Deselect all sit above the list) and a bar with N selected and Tag with behavior stage sticks to the bottom of the screen while you scroll; Leave them dismisses a row. Applying asks Apply to selected contacts? first.

If you'd rather not review, the panel's status line — "Auto-tag nightly: warmer on/off · colder on/off" — links to the two auto-tag switches in funnel settings. With one on, the nightly CRM check tags those mismatches itself instead of queuing them.

Funnel settings

Go to Settings → Funnel (requires the organization-settings permission). The Track the funnel toggle turns tracking on or off for the company. While you have unsaved edits, a Save Changes button floats at the top right so it's always in reach; if a save fails validation, the page tells you the first problem and scrolls to that field.

  • Monthly booked-meetings goal — the number Nox paces you against (0 = no goal).
  • Stage criteria — the thresholds behind each promotion, grouped with a Reset to defaults button per group. Each group also carries its own conversation-outcome switch (see below):
    • Becoming intermediate — Email opens that count (3), Shortest call that counts (30s), Link clicks (1), Lead score for intermediate (40).
    • Becoming warm — Site visits (2), One long visit (120s), High-intent page visits (2), Chat messages (3), Link clicks (2 — must be more than the intermediate count), Days they re-opened email (2), Lead score for warm (60).
    • Very warm — Lead score for very warm (80), Visits in one day (2), Same email opened (4), Burst window (24h), Signals in the window (3), Spike vs their normal (3×), Hold — days without a signal (14).
    • Going quiet — Warm → intermediate (60 days), Intermediate → cold (90 days), Booked → warm (14 days), Days cold → reactivation candidate (30 days).
  • Conversation outcomes — how Nox's call and chat outcome scoring moves the funnel, one switch per stage card: Positive conversation moves here on Becoming intermediate and Becoming warm (both off by default — a positively scored call or chat promotes the contact to that stage), Positive conversation flips very warm (on by default — marks the contact very warm on the spot), and Negative conversation demotes under Going quiet (on by default — steps the contact down one stage immediately).
  • Instant-warm signals — checkboxes for behaviours that jump a contact straight to warm: Started a booking, Called you (answered), Visited a high-intent page, Shared contact details.
  • Booking calendars — shown when LeadConnector is connected: tick the calendars where a booked meeting should count as booked. Leave every box unchecked and every calendar counts. Inactive calendars are marked (Inactive). Appointments are still mirrored either way; this only decides which ones move the funnel.
  • High-intent pages (one per line) — the pages (like /pricing or /book) that count as high intent.
  • Stage tag prefix (default nextlevel stage:) — on every stage change, the contact is tagged <prefix><stage> in LeadConnector and every older stage tag is removed, so a contact carries exactly one stage tag and your workflows can trigger on funnel movement. Leave it blank to turn tag mirroring off.
  • LeadConnector pipeline mapping — map a Pipeline and Stage (or Entire pipeline) to a Funnel layer, and click Add mapping. Saving a mapping triggers an immediate sync of those pipelines' contacts. Map a stage that holds existing customers to the Customer (won) layer so already-won customers land in Won instead of the open lead stages. Map a stage to Ignore (not in funnel) and contacts seen only in that stage are dropped from the funnel on the next healthy scan (a contact with any other mapped position keeps its place, and won contacts are never removed) — the Last scan line reports them as "removed (ignored stage)".
  • Funnel feeding — a Sync from LeadConnector now button, Feed tags (pick a tag and the stage it feeds; tag feeds are upward-only and the highest stage wins), toggles for Feed from identified website visitors (identified visitors' site visits, widget activity, and bookings make them funnel members; off means their signals only count for existing members), Feed from form submissions, and Feed from mapped opportunities, and a Last manual sync timestamp. After a sync, a Last scan summary line reports what happened — how many opportunities were scanned across how many pipelines, how many contacts were added, skipped (unmapped stage), removed, or flagged as mismatches.
  • Actions & alertsReal-time very-warm alerts (on by default; alerts are capped so you're not flooded), Triggering LeadConnector workflows: Ask me first (recommended) or Trigger automatically, and the two nightly reconciliation switches, both off by default: Auto-tag contacts who outgrow their pipeline (a contact behaving warmer than their pipeline stage is tagged with the behaviour stage automatically instead of waiting in the review list) and Auto-tag contacts who cool off (the same for contacts behaving colder — careful, a cooler stage tag can fire your LeadConnector workflows).
  • Danger zone — a Reset funnel button that, after a confirmation dialog, permanently deletes every funnel contact along with its stage history and signals. It's there for starting over cleanly — for example after re-testing your mapping and thresholds — and can't be undone.

The pipeline mapping picker needs your LeadConnector connection to include workflow, opportunity, and tag scopes. If pipelines or workflows don't appear in the pickers, reconnect LeadConnector.

Nox acts on the funnel

Nox doesn't just watch the funnel — it can act on it in LeadConnector: tag a contact, move a pipeline stage, trigger a workflow (confirm-first by default, per the setting above), book a meeting, and draft WhatsApp follow-ups (this needs the LeadConnector WhatsApp channel connected and a phone number on the contact).

Results are always honest. If LeadConnector refuses an action — a missing scope, for example — Nox tells you rather than pretending it worked, and a pipeline move can fall back to a stage tag. All outbound respects suppression lists, per-channel DND, and quiet hours.

Asking Nox about the funnel

The funnel is part of Nox's knowledge in chat or voice. Ask things like:

  • "Who's very warm right now, and why?"
  • "Who should I contact next?"
  • "What's my cold-to-warm conversion rate?"
  • "How fast are contacts moving? Where's the bottleneck?"
  • "Am I on pace for my monthly booked-meetings goal?"
  • "Walk me through Sarah's journey."

Funnel in the Daily Brief

With the funnel on, the Daily Brief gains funnel sections you can toggle in Assistant settings: Funnel snapshot, Rates and pace, Priority list, Very warm today, New and noteworthy, Needs attention, What's working, Booked journeys, After the meeting, and What Nox is learning.

For funnel accounts the brief email defaults to an early send hour (5 AM), so it's waiting before your day starts, and it leads with the funnel blocks. Each block follows the same shape — the fact, what it means, and a decision prompt — and the offers are actionable for about 48 hours: reply "do the first one" in chat or voice and Nox acts on it. The funnel Daily Brief email replaces the old daily reporting email.

Rates are suppressed when there's too little data to be meaningful — they're never faked. Over time Nox may raise stage thresholds to cut noise; these adjustments are demote-only and come with readable reasons shown in the brief.
